How to Easily Apply Open Credits in Counterpoint
If you manage Accounts Receivable or Payroll Deduction customers in Counterpoint, you know how important it is to keep account balances accurate. These customers can make purchases on credit and then repay those balances over time through payments or payroll deductions.
While it’s possible to manually apply those payments or deductions to individual transactions, the process can quickly become tedious, especially when you’re dealing with many open balances. If credits are not applied to transactions, it can be difficult to understand what still needs to be paid off.
That’s where Counterpoint’s Apply Credits to A/R Documents Utility comes in. This built-in tool helps you match unused credits (from payments or deductions) to outstanding charges on a customer’s account. It saves time, reduces manual work, and ensures credits are applied consistently and logically.
Here’s what you need to know before using it:
- It only applies unused credits. Any credit that has already been applied elsewhere will be ignored.
- It applies credits to the oldest unpaid charges first, helping you keep your accounts in chronological order.
Using the Apply Credits to A/R Documents Utility
1. To use the Apply Credits to A/R Documents Utility
Select Customers → Utilities → Apply Credits to A/R Documents
2. (Optional) Click the Customer tab and use filters to limit which A/R customers are affected
3. Click Preview
4. Review what credits will be applied
6. Click Apply
7. Close the previewed report
8. Credits are applied to the customer accounts
